Step by step process for onboarding your New Hires and Rehires
- Submit a billing form .
- Submit the Appointment Action request eForm once the 600# is received through email via PeopleSoft by clicking on the tile labeled "eForms."
- If the student is a new hire: The Employee ID will be emailed by EDM to the hiring department with instructions to submit the eForm appointment document.
- If the student is a rehire: After receiving the proceed with rehire email from Human Resources, the Hiring Department will then initiate the appointment action request with the 600# provided.
- After completion, the initiator of the eForm will be notified by email that the student now has an active job record in the system.
- Monitor the student hire's onboarding module status emails for completion.
- Submit a Backgrouncheck billing form to Human Resources to initiate the Criminal Background Check for the staff member to complete.
- The hiring department will be notified by email that the staff now has an established 600# to be used for the appointment to their position.
- Once the appointment eForm has been submitted by HR, notification email will be sent to the hiring manager to approve the eForm and then route to other approvers.
- Upon activation of the job record, Human Resources assigns the Onboarding Module for staff to complete within 48 hours of assignment.
- If the faculty is a rehire, after receiving the confirmation of completed new hire documents and CBC, the Hiring Department will then initiate the appointment.
- If the faculty is a new hire, submit a Background Check Billing Form to Human Resources to initiate the Criminal Background Check for the faculty member to complete.
- Submit the Appointment Action request through eFroms once the 600# is received from EDM through email.
- The initiator of the eForm will be notified through email that the faculty employee now has an active job record in PeopleSoft once the eForm is approved.
- The hiring department will receive an email informing them to have the new hire contact the HelpDesk to obtain their UTEP credentials
Once your job record is created in the UTEP computer system, electronic credentials are created so you may log in to university systems (both computer and online portals). These are generated automatically, but you will need to call the UTEP Help Desk to verify information by phone before you can use these credentials for the first time.

Employee Assistance Program
An Employee Assistance Program (EAP) provides free and confidential assessments, short-term counseling, referrals, prevention, and education services for you and your dependents. UTEP uses Deer Oaks EAP Services for its employees. EAP’s can provide Short-term counseling, Crisis Intervention, Health & Wellness education, Substance abuse services, Leadership training, and many other services. They can address Legal or Financial concerns, Trauma Recovery, Marital/family problems, and other problems.
